What to Archive, What to Keep, What to Let Go

A reflective closer about stewardship, simplification, and letting Jira reflect current reality rather than institutional sediment.

Not everything should be kept. A calm system holds what is active and useful, then lets go of what no longer serves.

Sort the system

  • Archive what is truly past. Let it be gone from the daily surfaces.
  • Keep what is still referenced or teaches something important.
  • Let go of experiments that no one misses when removed.

Decision rules

How to decide quickly

  • If an artifact has no owner, archive it.
  • If a field does not change a decision, remove it.
  • If a board requires a tour to understand, simplify or retire it.

Archive policy

Archiving is reversible for a short window. Set a simple policy. Items stay archived for one quarter and are purged if no one requests a restore.

Keep surfaces small

Right size the space

  • One board per team for daily use.
  • One dashboard per audience with a clear owner.
  • One portfolio view that leaders actually read.
